Connect Zoom to Prism
Connect your own Zoom user to a US Prism workspace. Automatic import is off by default; you choose which interviews to share with your workspace.
Before you start
You need an invited Prism account in a US workspace and a Zoom account with cloud recording and transcription available. Varitas provisions workspaces separately; adding Prism - US in Zoom does not create a Prism account. Ask your Zoom administrator for app pre-approval if your organization requires it. Availability outside the developer's Zoom account depends on Zoom's approval.
Use only for authorized interviews with adults and non-sensitive, non-regulated information. Tell participants they are being recorded and ensure your organization has the necessary authority and permissions. Do not connect an account used for health, HR or other sensitive meetings.
Add Prism - US
- Sign in at app.prism.varitas.io and unlock your US workspace.
- Open Settings → Zoom and choose Connect Zoom.
- Check that Zoom shows the account you intend to connect, review the permissions and choose Allow. Shared-access permissions are not needed.
- Return to Prism. Complete any workspace unlock prompt and use its continuation button. Check that Zoom shows Connected and automatic import is off.
Start the connection in Prism so it is bound to your member and workspace. If the connection expires while you sign in, return to Settings and start Connect Zoom again.
What the permissions allow
- Your profile: identify the Zoom user you connected.
- Read recording settings: check what your account can record.
- Change recording settings: apply recommendations only when you choose that action.
- Read cloud recordings and files: list your recordings and import the recording/transcript you select. Recording-completed and transcript-completed notifications tell Prism when files are ready.
- Delete a cloud recording: supports the separate Delete recording on Zoom action you choose.
Choose what to import
Record a permitted interview to the Zoom cloud with transcription enabled. When Zoom finishes the recording and transcript, Prism receives a notification. New recordings are private to the connecting member until imported.
On the Interviews page, choose Sync from Zoom to list your cloud recordings from the last 90 days if needed. Open the recording you want and choose Import. Importing shares the interview with your workspace. Record participant consent before AI processing, then review the transcript, speakers, findings and source citations.
Automatic import is off by default. Turning it on imports new recordings and shares them with the workspace. Enable it only for a Zoom account used exclusively for interviews.
Review optional recording settings
You can choose Apply recommended recording settings. Read the warning first: it turns on cloud recording, audio-only recording, transcription and automatic cloud recording for every meeting you host. It turns off speaker/gallery video recording and Zoom's automatic recording deletion. Administrator-locked settings may remain unchanged; check the result shown in Prism.
Disconnecting Prism does not undo these settings. Change them in your Zoom recording settings if needed. Deleting Prism's copy of an interview does not erase Zoom's separate copy. Delete a source recording on Zoom only through the separate action, with authority to do so.
Disconnect or remove the app
- In Prism, open Settings → Zoom and choose Disconnect.
- To remove authorization in Zoom instead, sign in to Zoom Marketplace, open My library, find Prism - US, and choose Remove. Confirm Zoom's removal prompt.
Disconnecting or a verified Zoom removal notification deletes the connection, stored OAuth tokens and unimported recordings from Prism. Imported interviews remain under your workspace's normal deletion controls. Neither action changes Zoom's recording settings or deletes its separate recordings. You can reconnect by starting again from Prism.
For interview removal, recovery periods, workspace closure and privacy requests, see the privacy notice and contact your workspace administrator.
If something goes wrong
- App unavailable or needs pre-approval: ask your Zoom administrator and Varitas about approval and US workspace availability.
- Connection expired: start Connect Zoom again from your unlocked Prism workspace.
- No recording or transcript: check cloud recording/transcription availability in Zoom, that the connected user hosted the meeting, and that Zoom has finished processing.
- Reconnect required: Zoom may have revoked or declined to renew access. Connect again to restore access.
Contact prism@varitas.io with the page, approximate time and error shown. Do not email recordings, transcripts, tokens, passphrases or recovery files.
