  1. Welcome to Prism. In the next few minutes, we'll take a brand new workspace from its first invitation to the first analysis of an interview.

  2. It starts with an email. When Varitas sets up your workspace, the person who will run it gets an invitation like this one.

  3. The button signs you in and accepts the invitation in one step. It works once, and expires in seven days, so keep it to yourself.

  4. Prism shows the workspace you're joining, and the address you'll use. On screen: Join your workspace

  5. Press Continue. That's your first sign-in: there's no password to create. On screen: Continue: you're signed in

  6. Prism brings you straight to one setup step: protecting your interview data. On screen: One setup step

  7. Your interviews are encrypted with keys that you hold. Varitas has no support access to your workspace, and can't recover lost keys, so this step matters. On screen: Encrypted with keys you hold

  8. Choose how you'll unlock it. We recommend one passkey: Touch ID, Windows Hello, or a security key. One passkey both signs you in and opens your data. On screen: Recommended: one passkey

  9. If your device can't use passkeys, choose a passphrase instead, at least sixteen characters. You'll then sign in with an email link, and unlock with your passphrase. On screen: No passkey? Use a passphrase

  10. We'll use a passkey. Press Create passkey, and confirm on your device. On screen: Create a passkey

  11. Next, save your recovery file. If every passkey is ever lost, it's the only way back in. On screen: Save your recovery file

  12. Keep a copy somewhere safe, then select it, so Prism can check that it works. On screen: Prism checks the file

  13. Activate encryption, and your workspace is ready. On screen: Activate encryption

  14. Now bring in your team. Open Settings, then Team. Your seats are shown at the top. On screen: Settings, then Team

  15. Enter a colleague's email, choose Member or Administrator, and send the invitation. On screen: Email, role, send

  16. Because your workspace is unlocked, they'll get access automatically once they sign in. On screen: Access is granted automatically

  17. Your colleague gets the same kind of email. They press Continue,

  18. register a passkey on their own device, and they're in. On screen: Your colleague is in

  19. Interviews arrive in two ways. If you record on Zoom, an administrator connects Zoom once, in Settings, with six guided steps. On screen: Settings: Zoom setup, six guided steps

  20. You create a small app in Zoom's Marketplace, and paste its three IDs into Prism.

  21. From then on, each recorded interview's transcript arrives in Prism on its own.

  22. Or upload a transcript yourself, from the Interviews page. On screen: Or upload a transcript

  23. Give it a title and a date, and choose the VTT transcript file. Zoom, and many other tools, can export one. On screen: Title, date, transcript file

  24. Confirm that the participants consented to being recorded and analyzed, and add a note if you like, such as where the consent forms are kept. Prism starts no AI processing until consent is recorded. On screen: Consent, before any AI processing

  25. Upload it, and open the interview. On screen: Upload, then open it

  26. The interview page keeps that consent record, with your note. And one click turns AI processing off for an interview, whenever you need to. On screen: Consent on record; AI off in one click

  27. Now press Clean up transcript. On screen: Clean up transcript

  28. Prism tidies the raw captions: it merges broken lines, removes filler words, and fixes obvious transcription slips. The original is always kept beside it. On screen: The original is always kept

  29. About sixty seconds later, it's ready. Read the cleaned transcript, and fix anything that's wrong. Show changes puts it beside the original. On screen: Ready for your review

  30. Then check the speakers. Mark who asked the questions, so the insights come from the people you interviewed. On screen: Mark the interviewer

  31. Approve the transcript. Prism shows who you marked as the interviewer, and you confirm the speakers in the same step. On screen: Approve, and confirm the speakers

  32. Approving starts the analysis. Prism reads the whole interview, and pulls out what matters. On screen: The analysis runs

  33. About sixty seconds later, here's the result: a summary of the interview, and the people in it. On screen: A summary, and who's who

  34. Then the findings, sorted: goals, pain points, constraints, decisions and risks. Each one carries the speaker's own words, and links to the moment it was said. On screen: Findings, with the evidence

  35. Key quotes, and follow-up questions for your next conversation. On screen: Key quotes, follow-up questions

  36. And you can ask about the interview in plain language. On screen: Ask, in plain language

  37. Prism answers from the interview alone, and every claim cites its source. On screen: Every claim cites its source

  38. That's it. Your workspace is protected, your team is in, and your first interview is analyzed. Add more interviews, and Prism compares them for you.

Before you start

  • Your invitationAn email from Prism, sent when Varitas sets up your workspace.
  • A passkey deviceTouch ID, Windows Hello or a security key. A 16+ character passphrase also works.
  • A safe place for a fileYour recovery file is the only way back in if every passkey is lost.

Open your invitation

When Varitas sets up your workspace, the person who will run it receives an invitation email. Its button signs you in and accepts the invitation in one step.

Keep it to yourself

The link works once and expires after seven days. If it has expired, ask Varitas to resend it rather than creating a new workspace.

Sign in for the first time

Prism shows the workspace you are joining and the email address you will use. Check both, then press Continue. There is no password to create.

Protect your interview data

Prism takes you straight to one setup step. Your interviews are encrypted with keys that you hold. Varitas has no support access to your workspace and cannot recover lost keys, so take a moment here.

  1. Choose how you will unlock. We recommend one passkey (Touch ID, Windows Hello or a security key): it both signs you in and opens your data. If your device can't use passkeys, choose a passphrase of at least 16 characters; you will then sign in with an emailed link and unlock with the passphrase.
  2. Create your passkey and confirm on your device.
  3. Save your recovery file somewhere safe, then select it so Prism can check that it works.
  4. Press Activate encryption. Your workspace is ready.
Important

Store the recovery file somewhere only your organization controls. Never email it to Varitas or anyone else; we will never ask for it.

Tip

Using a password manager browser extension? If it offers to save the passkey, choose "Use another device" or "Not now" so your browser's built-in passkey handles it.

Invite your team

  1. Open Settings → Team. Your seats are shown at the top.
  2. Enter a colleague's email, choose Member or Administrator, and send the invitation.

Your colleague receives the same kind of email, presses Continue and registers a passkey on their own device. Because your workspace is unlocked when you invite them, they get access automatically once they sign in.

Bring in your interviews

Interviews arrive in two ways:

  • From Zoom. An administrator connects Zoom once, in Settings, with six guided steps: you create a small app in Zoom's Marketplace and paste its three IDs into Prism. After that, each recorded interview's transcript arrives in Prism on its own.
  • By upload. On the Interviews page, choose upload, give the interview a title and date, and select a VTT transcript file (Zoom and many other tools can export one).

When you upload, record that the participants consented to being recorded and analyzed. You can add a note too, such as where the consent forms are kept. Prism starts no AI processing until consent is recorded. Then upload the file and open the interview.

Good to know

Consent here is your statement, as a member, that the participants agreed. Prism records it with your note; it does not check it for you.

Prepare the transcript

  1. Check the consent record. The interview page keeps it, with your note. One click on Turn off AI processing stops AI work on that interview whenever you need to.
  2. Press Clean up transcript. Prism merges broken caption lines, removes filler words and fixes obvious transcription slips, usually in about a minute. The original is always kept beside it.
  3. Review the cleaned transcript and fix anything that's wrong. Turn on Show changes to see it beside the original.
  4. Mark the interviewer in the Speakers panel, so insights come from the people you interviewed.
  5. Approve the transcript. Prism shows who you marked as the interviewer and asks Approve and confirm the speakers?, because approving also confirms the speakers.

Read your first analysis

Approving starts the analysis. About a minute later you'll see:

  • A summary of the interview and the people in it.
  • Findings sorted into goals, pain points, constraints, decisions and risks, each with the speaker's own words and a link to the moment it was said.
  • Key quotes and follow-up questions for your next conversation.
  • Ask: question the interview in plain language. Prism answers from the interview alone, and every claim cites its source.

Add more interviews and Prism compares them for you.
